Position:  Executive Assistant to the President, IDA
Description

The Institute for Defense Analyses (IDA) is a not-for-profit corporation that operates three Federally Funded Research and Development Centers serving the Office of the Secretary of Defense, the Joint Chiefs of Staff, Department of Homeland Security, Unified Commands and Defense Agencies in addressing important national security issues, particularly those requiring scientific and technical expertise.

Under general direction, maintains the day-to-day operation of the President’s office, providing administrative and secretarial support. Works closely and cooperatively with the secretaries supporting IDA’s Vice Presidents.

Primary Responsibilities
  • Maintains schedules and appointments of meetings (including briefings, project reviews, and contacts with sponsors).   Collects and prepares documents or information required for attendance at such meetings; arranges for any needed facilities support.
  • Prepares travel requisitions and arrangements (including tickets, reservations, transfer of security clearances); files travel vouchers and supporting documentation for reimbursements of costs incurred by President.
  • Within IDA Headquarters, helps coordinate requirements with the Vice Presidents and Division Directors, and ensures appropriate distribution of information from the President.
  • Initiates correspondence as needed and assures the accurate and timely completion of written communications for President. Maintains record of internal and external deadlines and ensures for timely responses.
  • Maintains administrative databases as needed, e.g., of mailing lists, lists of classified and unclassified holdings.
  • Serves as back-up for the administrative arrangements for meetings of the Trustees and various committees of the Board.  As needed, may attend and prepare draft Minutes of proceedings, prepare agendas and slates, and write scripts.
  • Collects and organizes data for presentation by the President at meetings of Board of Trustees and government advisory groups; assists the President in editing materials for incorporation in speeches, articles, and presentations in various fora; ensures materials are accurate and timely.
  • Coordinates special IDA events under auspices of President.
  • Performs other duties as assigned.
Requirements
  • High School diploma.
  • Eight or more years of experience in position supporting senior management.
  • Demonstrated ability to maintain confidentiality; able to effectively and diplomatically communicate orally and in writing; strong interpersonal skills.
  • Experience using microcomputers and associated software applications such as Excel, Word.
  • Able to obtain and maintain necessary security clearance.
